Summary:

The Child Mind Institute is recruiting an Administrative Coordinator for Professional Training for the School and Community Programs. Breaking down barriers to care, the Professional Training team engages in collaborative relationships with school partners to build on strengths and increase capacity for sustainable access to mental wellness for students. These training programs bring a suite of evidence-based services to prevent and treat student mental health disorders in school and community settings, including a K-12 mental health skill-building curriculum and evidence-based treatment to children and teens struggling with posttraumatic stress, behavior, attention, mood, or learning disorders.

This role involves providing essential support to two Senior Directors, including managing calendars, coordinating meetings, drafting communications, and organizing materials. The Coordinator will handle a variety of administrative tasks, such as drafting documents, managing forms and applications, coordinating meetings and events, and assisting with financial and clerical accounting. Strong communication and organizational skills are essential, as the role requires interaction with staff, external agencies, and stakeholders. The ideal candidate is detail-oriented, able to work independently, and passionate about supporting youth mental health initiatives. The successful candidate will have the opportunity to participate in the national scaling of professional training, contribute to innovative programming, and collaborate with a dynamic team.

Reporting to two Senior Directors of SCP, this is a full-time, non-exempt hybrid position at the Child Mind Institute headquarters in Midtown New York or San Mateo, CA.

Responsibilities:

  • Provide administrative support to two Senior Directors (NY and CA) of School and Community programs, including managing calendars, preparing for and coordinating department meetings, drafting meeting agendas, organizing materials for distribution, confirming attendee availability, and room reservations
  • Independently drafts a variety of materials including inter-office communications, forms, letters, memoranda, bulletins, agenda items, labels, flyers, requisitions, handbooks, newsletters, brochures, certificates, contracts, and other materials, either from oral instructions or rough drafts. Formats materials to meet program needs.
  • Manages the distribution, collection, processing, and evaluation of various forms and applications relevant to assigned tasks. Duplicates and distributes materials as required. Assists in preparing, processing, and maintaining grant information, records, and related materials.
  • Plans, schedules, and participates in a range of meetings, workshops, and special events. Sends meeting notices, compiles agenda items and necessary information, and organizes equipment and supplies. Takes, transcribes, and distributes minutes as needed.
  • Coordinates and executes financial and clerical accounting tasks as assigned. Works with the Director of Programs to generate budget and financial reports, monitors income and expenditures, and ensures expenses stay within budget limits. Calculates, prepares, and revises accounting and budgetary data, and balances and reconciles accounts and budgets. Assists with budget development and maintenance. Maintains financial and statistical records and files, and processes contracts according to established policies and procedures.
  • Engages with staff and external agencies to exchange information, request and provide materials, coordinate activities, and address issues or concerns. Interprets, applies, and explains laws, codes, rules, regulations, policies, and procedures.
  • Arranges travel and hotel accommodations and processes reimbursement claims as needed.
  • Other duties as assigned

Qualifications:

  • Bachelor's degree and minimum of 3 years of relevant work experience or equivalent combination of education and experience
  • Proficiency in Microsoft Office
  • Excellent verbal and written communication skills with a demonstrated ability to establish and maintain effective working relationships
  • Ability to appropriately handle sensitive information with discretion
  • Professional demeanor and attitude; ability to interface with senior leadership, clinicians, and staff
  • Self-starter and team player able to establish and maintain effective working relationships
  • Thorough, accurate, and conscientious about assignments while demonstrating strong organizational skills

The salary range for the position is posted. Factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations affect the salary offered within this range. In addition, this salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
